These terms and conditions govern the provision of the Pilates retreat experience delivered and facilitated by us, Kefi Studio Pilates Pty Ltd (trading as Kefi Studio). These terms apply from the time you make a booking to attend one of our retreats.

By placing your booking for our retreat either online, by email, or by telephone, you accept and agree to abide by these terms and conditions.

By providing your personal information to us, you agree to our Privacy Policy.

We have not waived our rights if we do not enforce any right contained in these terms during a particular timeframe.

We may add to, change or remove any of the terms and conditions or other clauses within these terms and the ways in which the studio and retreat operate.

Our current fees for the retreat are available on our website. Retreat fees do not include airfares or other travel costs, insurance, or taxes.

Retreat rooms (unless otherwise specified) are twin-share accommodation. If you do not wish to share, you will need to pay the full rate for the room.

To secure your spot on the retreat, payment must be made in one (1) of the following ways:

- In full**, which gives you a $150 discount; or

- In four (4) instalments**. Instalments will be deducted from your nominated card on the same day each month and must commence no later than 31 May 2025.

All payments are to be made via your nominated credit or debit card stored in your account in the Kefi Studio app or website. If you do not already have an account, one will need to be created.

Securing a room requires prompt payment by one of the above methods. No holds will be made and room allocation is based on the order of payments received.

Participants using the 'Pay Later' option must finalise their payment plan within 48 hours of booking, or their spot will be released.

If the retreat is full, you may request to be added to the waitlist in writing. We may also inform you of future retreat dates.

If we can confirm your place, we will contact you, and at least one instalment or full payment will be due immediately. If this occurs within 4 weeks of the retreat, full payment will be required.

All cancellations must be made in writing via email to hello@kefistudiopilates.com.au and are subject to the refund policy below:

- a) If the participant withdraws 30 days or more prior to retreat commencement, a full refund of all monies paid will be issued, minus a $50 admin fee.

- b) If the participant withdraws 14–29 days prior, 50% of the full retreat fee will be refunded, minus a $100 admin fee.

- c) If the participant withdraws 1–13 days prior, 25% of the full retreat fee will be refunded.

- d) If the participant withdraws after the retreat commences, no refund will be provided.

- e) For additional activities (e.g. massage) booked, cancellations within 7 days will be fully refunded. Cancellations within 6 days are non-refundable. If an activity is cancelled by Kefi Studio due to circumstances beyond our control, a full refund for that activity will be issued.

If the retreat is cancelled by Kefi Studio due to not reaching the minimum number of participants (8 weeks prior to the start date), all monies paid will be refunded in full.

To request a transfer, you must submit your request in writing to hello@kefistudiopilates.com.au.

You may transfer your booking to another participant, provided they agree to these Terms and Conditions. If full payment has been made, the new participant must reimburse the original participant before a refund is issued.

If a waitlisted participant can take your place, you may request to transfer to another retreat for a fee of $200. Only one transfer is allowed. After this, the standard refund policy applies.

If no waitlisted participant is available, the standard refund policy applies.

Kefi Studio Retreats include the specified accommodation, classes, specified meals, and specified activities. We do not cover travel insurance or transport to and from the venue. It is your responsibility to make and pay for your own travel arrangements.

You must be at least 18 years old to attend the retreat. Participants aged 16 or 17 must be accompanied by a guardian aged 18 or older.

Upon booking and attending a retreat, you confirm:

- a) You are in good health and physical condition.

- b) There is no medical reason preventing you from participating in physical activity.

We reserve the right to deny participation if:

- a) There is a reasonable risk of injury to you or others.

- b) You show signs of contagious illness or infection.

- c) Your behaviour is disruptive to others or the retreat experience.

You agree to:

- Complete all relevant forms and disclose allergies or conditions.

- Comply with staff instructions and policies.

- Acknowledge that physical activity carries a risk of injury.

- Participate at your own risk.

- Release Kefi Studio, its staff and contractors from liability related to participation.

- Accept that our staff are not medical professionals and cannot assess your readiness for physical activity. We encourage you to seek medical advice before participating.

All alcohol consumption is at your own discretion. Minors (under 18) must not consume alcohol.

To the extent permitted by law, neither Kefi Studio nor its staff or contractors are liable for injury, damage, loss, or additional expenses caused by:

- Events outside our control (e.g. natural disasters, force majeure)

- Actions of third parties (e.g. suppliers, airlines)

We are not responsible for costs incurred in preparation for a cancelled retreat (e.g. flights, loss of income).

While we do our best to deliver all services as planned, third-party services (e.g. massage, catering) are subject to availability.

By attending, you agree to follow Miliya Hunter Valley’s terms of use for accommodation, location, and facilities.

These terms are governed by the laws of New South Wales, Australia. You submit to the non-exclusive jurisdiction of its courts.

Feedback provided via forms may be used by Kefi Studio for marketing purposes.

Photographs taken during the retreat may also be used for promotional purposes (e.g. website, social media, printed materials).

If you do not want your image or words to be used, please notify us in writing at hello@kefistudiopilates.com.au prior to the retreat.
